CRM automation that writes the deal note reps never write

The note gets written from memory on Friday, four days after the call, and it says "good call, sending pricing". Not because anybody is careless, but because writing it is retyping something that already exists in the thread.

Read the long version

A note nobody had to remember

Drafted from the thread the moment the thread ends, with the message each sentence came from attached to it. The rep corrects it rather than composing it, and the saved note records that a person did.

The inference is in the note as well. It is simply marked as an inference rather than written in the same voice as a quote, because a note that renders a guess and a fact identically teaches everyone to distrust the whole note.

A deal note drafted from a five message thread, before anybody edited it.

REVIEW

112 words

Two sentences are traceable to the thread. One is an inference and is labelled as one.

What the note asserts

2 of 3 cited

  • They are running returns through two systems and reconciling by hand. CITED

Source: their message on 2 March, second paragraph.

  • Budget sits with the COO and is reviewed in July. CITED

Source: their message on 9 March, in reply to the pricing question.

  • They are probably evaluating another vendor in parallel. UNVERIFIED

Inference. Nothing in the thread says this. Keep it only if you want it on the record as your read.

Stage, close date and forecast category are not on this list on purpose. Those are opinions somebody has to commit to, and there is no value in a promise nobody made.

Three kinds of CRM data entry, and only two of them should be automated

They get discussed as one job. They are not one job, and treating them as one is how a CRM ends up full of confident fields that nobody believes.

Activity capture

Automate it, today

What happened and when: the send, the reply, the meeting, the document opened. Entirely derivable, no judgement in it whatsoever. If your CRM is not doing this without a human touching it, fix that before anything else on this page.

The account of what happened

Automate the draft, keep the approval

The note. Derivable from the thread, and only trustworthy if each factual sentence points at the message it came from. The rep corrects and saves, which takes seconds rather than the ten minutes composing it takes.

Judgement fields

Never

Stage, close date, forecast category, qualification, whether the champion is real. These look like data entry and they are not: they are a person committing to an opinion, and the value of the field is precisely that a person committed to it.

A stage field set by a machine from activity is a measure of activity, not of progress. Deals move for reasons that are never in the thread, and a model that sets the stage from the email record will be confidently wrong about exactly the deals you most needed to be right about.

What syncs, and to what

Two way where it makes sense, one way where two way would let a bot overwrite something a person decided.

Activity

Written to the CRM

Sends, replies, bounces, opt outs and meetings, logged against the contact and the opportunity as they happen.

Deal notes

Written to the CRM after approval

The drafted account of the thread, with its sources, saved once a person has read it. The saved record notes that it was drafted automatically and who approved it.

Next step

Suggested, never set

A proposed next action with the reason. It lands as a suggestion for the owner to accept, because a next step nobody agreed to is not a next step.

Suppression and consent

Read from and written to the CRM

An opt out anywhere becomes an opt out everywhere. The lawful basis you recorded for a contact travels with the contact.

Fields the agent reads

Read only

Deal stage, owner, previous conversations, notes your team left. These are sources for the claim ledger. Nothing here writes back into them.

HubSpot and Pipedrive on every paid plan, Salesforce from Team, custom fields and bulk sync on Scale, sandboxes and custom objects on Enterprise. The plan detail is on AI SDR software pricing.

A stale record produces a confident, fluent, wrong email

This is the connection between the two halves of the product, and it is the reason CRM automation is not a side feature here. An agent that writes from your CRM is only ever as good as your CRM. Automate outbound on top of a record nobody maintains and you get well written email that is subtly out of date, sent at volume, from your domain.

The claim ledger catches the version of this failure it can see: a sentence with no source stops the send. It cannot catch a sentence sourced to a note that was true in March and is not true now. Nothing can, except keeping the note current, which is why the note is the first thing this page automates.

The guide on this

The reason the pipeline is wrong is rarely dishonesty. It is that the note gets written from memory on Friday afternoon, if at all.

crm data entry

The rest of the product, by job

The same product, entered from the job you came here to do. Each page states its own limits rather than repeating the pitch.

  • AI email writer

The drafting side on its own page: what it writes, and what it refuses to assert without a source.

  • Spam score checker

What the score is made of, line by line, and the two things it deliberately does not test.

  • Email outreach platform

The cap, the queue and the suppression list, which is the part of a platform nobody demos.

  • Prospecting tools

Where a research tool ends and a list vendor begins, and which one this is.

  • Cold email software

The four things a cold email has to get right before volume is even worth discussing.

  • Sales automation tools

What to automate, what to review, and what a person still has to decide.

Stop rewriting what the thread already says.

Getting started connects a mailbox and a CRM. The first drafted note usually arrives the same afternoon, and you correct it rather than write it.

Run it on a prospect

Your data stays yours. Prospect data is never used to train a model. Nothing is charged today.
